Summary:

The Payroll Specialist is part of the accounting team. This position also coordinates/supports the Human Resources (HR) department. This individual maintains the internal HR and payroll records through ADP, gathers internal payroll and benefits information, communicates with benefits and payroll providers, and compiles reports as needed. This individual also performs all accounting tasks related to the benefits and payroll, as well as general accounting duties.

Major Duties:

  • Administrator for ADP Workforce Now payroll, Timekeeping and 3rd party Benefits providers.
  • Assures accurate and timely processing of all aspects of payroll for employees, including enforcing time reporting, calculating pay, pay increases, bonuses, working with payroll provider and employee changes.
  • Ensures timely submission of RRB taxes to Railroad Retirement Board, 401(k) and HSA funding.
  • Assures accurate and timely processing of all transactions supporting employee benefit plans: medical, dental, RRB, 401(k), Section 125, including monthly reconciliation of service provider billings.
  • Responsible for Quarterly and Annual payroll tax filings, including RRB, ACA and W2's.
  • Processes information for 5500's, benefits discrimination testing, and other benefits-related administrative tasks.
  • Works closely with HR regarding employee benefits, compensation, reviews, terminations, and ADP system updates.
  • Provides payroll data for annual bonus and mid-year reviews.
  • Participates in month end close activities, such as reconciling GL accounts, as assigned.
  • Using available reporting tools, such as ADP, Excel and Intacct, provide various reports and analysis as requested by the Supervisor.
  • Works with the benefits team and HR to administer employee benefits programs. Updates ADP systems with enrollment changes and coordinates self-service with employees. Back up for HR benefits orientation.
  • Finalizes open enrollment by providing broker with complete benefits census data.
  • Maintains balances for employee time off, including sick leave, vacation, and floating holidays.
  • Completes all reports for Railroad Retirement Board quarterly and annually.
  • Prepares quarterly Labor and Industries reports.
  • Main contact for Payroll audits, 401K audit and standard annual audit.
  • Other duties and special projects as required. Such as Employment verifications, ADP Security Management, AR deposits.
    Authority and Responsibility

    Has authority to make and implement decisions regarding processing payroll, and other duties within the policies and guidelines of the position. Exercises independent judgment and initiative within company guidelines and procedures. Works on assignments that are moderately complex in nature where judgment is required in resolving problems, formulating solutions and making recommendations. Responsible for accuracy and compliance in all work.

    Essential:
    • Associates Accounting degree or equivalent combination of education and experience.
    • 5 years' experience in payroll with at least 1-2 years of accounting experience.
    • Working knowledge of Microsoft Office Suite with advanced Excel skills.
    • Able to work effectively in a team environment, supporting the success of others and achieving key results.
    • Productive in a start-up environment, and able to work with ad-hoc requests, multiple deadlines, and deliverables.
    • Self motivated, with independent problem-solving skills.
    • Proven abilities in exercising discretion regarding confidential information.
    • Must be able to effectively communicate with other employees.
    • Strong orientation towards quality, safety, and continuous improvement.
      Desirable:
    • Railroad Retirement Board experience a plus.
    • ADP Workforce Now, Sage Intacct, Accounts Payable experience
    • Certified Payroll Professional (CPP) certification

      Compensation:

      The pay range for this position is $61,861 to $95,884 per year based on experience. Employees new to this role can expect to start between $61,861 to $73,202. In addition, there is a potential yearly bonus at 7% of base salary.

      Hybrid role- This position is located in Renton, WA - must be able to work onsite 2-3 days per week.
