Job Description Perioperative Services The position description is a guide to the critical duties and essential functions of the job, not an all-inclusive list of responsibilities, qualifications, physical demands and work environment conditions. Position descriptions are reviewed and revised to meet the changing needs of the organization. TITLE: Implant Coordinator JOB OVERVIEW: Responsible for serving as the department-based point person for the maintenance of all departmental implantable devices inclusive of consignment, loaner and owned implants and instrumentation. Responsible for inventorying/requisitioning implantable devices used in the OR/Interventional Radiology using electronic requisitions. Responsible for supporting the clinical specialty services ensuring loaner/consignment sets are available for scheduled cases. Responsible for the receipt/inventory of consignment and loaner sets to ensure accuracy of sets. AREA OF ASSIGNMENT: Perioperative Services HOURS OF WORK: Typically, Monday - Friday, 9:30am to 6:00pm or variable to meet departmental operational needs. RESPONSIBLE TO: Director of Perioperative Services or designee PREREQUISITES:

  • Bachelor's degree, preferred.
  • Must have experience with supply chain inventory in a healthcare environment preferably in an OR/Radiology environments.
  • Minimum two years clinical experience in the operating room/interventional radiology preferred.
  • Able to communicate effectively in oral and written form of the English language with a diverse population.
  • Evidence of excellent communication skills, both oral and written, including ability to spell accurately and write legibly.
  • Computer knowledge including experience with a Materials Management information system
  • Ability to learn requisitioning programs.
  • Knowledge of Lawson and TrackCore computer applications and Surgery/Radiology information systems is preferred QUALIFICATIONS:
    • Requires sound independent judgment, initiative and ability to work effectively under pressure.
    • Capable of comprehending, executing, acting, and directing independently.
    • Ability to work effectively in a team environment.
    • Demonstrated ability to communicate clearly and to understand and solve problems and material/information needs of others both within and outside of the department.
    • Able to set priorities, produce work, and meet deadlines.
    • Past knowledge of Materials Management Information systems desirable.
    • Demonstrated ability to actively participate and apply Valley Values in daily work. Essential Responsibilities and Competencies
      • Demonstrate knowledge of surgery/Interventional radiology equipment, supplies, implants and their use.
      • Effectively use Materials Management systems.
      • Notify OR procurement coordinator, and specialty clinical leads of any issues in relation to implants or consignment.
      • Assist with monitoring shelf on-hand quantities, expired items, and returning product to proper locations. Daily walk through sterile core, Central Processing, and any other assigned areas to locate trays and supplies that may need replenishment.
      • Assist Peri-Operative/Interventional Services with looking up on-hand quantities, bin locations, and order status of implants/supplies when necessary. Assist in picking up urgent / emergent next day orders from the receiving dock and deliver to Surgery / IR.
      • Assist clinical staff with locating and delivery of any necessary implants/consignment products as required.
      • Coordinate with vendors loaner set receipt, completion of intake sheets, and provide appropriate usage information to the OR procurement coordinator.
      • Manage with the vendor the consignment inventory levels and replenishment of consignment set and provides appropriate usage information to the OR procurement coordinator.
      • Gather product/implant information as requested by coordinators/management to process and distribute to Materials Management for consignment agreement review.
      • Deliver Tissue from the loading dock in a timely manner and enter the information into Tissue Trackcore before distributing to the Sterile Core.
      • Maintain all documentation and storage of biologic implants per regulations. Complete monthly audits. Track items that must be returned within a certain timeframe from expiration.
      • Requisition special instrumentation and other implants/supplies s as necessary.
      • Review forecasted schedules to ensure supply/implant availability.
      • Reconcile all call and weekend implant use with OR procurement coordinator.
      • Maintain safety, cleanliness and order in the implant and supply storage areas.
      • Restock and maintain implant levels to avoid stock outages. If unable to fill set due to back order, communicate with Central Processing that set is incomplete and if / when to process tray.
      • Replenish missing/used items in owned and consignments set with back stock. Communicate with Central Processing when sets are full and ready to be reprocessed.
      • Maintain par levels on all drill bits, and k-wires.
      • Track the lending, borrowing and returning of implants to other facilities as needed for patient care.
      • Follow protocol for the ordering and tracking of special order implants to ensure timely arrival for scheduled cases.
      • Reconcile implant documentation with intake sheets and implants missing from set. Help resolve any discrepancies.
      • Follow protocols for vendor access to OR/IR cases.
      • Adhere to Patient Culture guidelines in all interactions and communications.
      • Effectively communicate any breaches of duty with regards to vendors.
      • Identify if requested supplies/implants have been previously used at VMC. If not, assist clinical staff w/ completion of New Product request form for approval processes for VAT.
      • Complete inventory cycle counting in Periop/Interventional radiology.
      • Provide coverage to Sterile Core Inventory Coordinator and Surgery Procurement Coordinator as appropriate - see duties under job description
